Agile Resource Planning Through Data Analysis

The Problem
At management level, rapid growth creates the challenge of aggregating these high-frequency, campaign-specific data points into a global company-wide view in real time. When strategic reporting is carried out retrospectively via manual exports or asynchronous ETL processes, latency occurs. During peak periods, such as seasonal business in e-commerce, the lack of overview leads to inefficient staff allocation. Resources cannot be shifted agilely between heavily frequented queues and campaigns with available capacity because data silos prevent an overall view.
The Solution
Data sovereignty and processing are elevated to a company-wide level through the dbsync module. This tool makes it possible to mirror the data of individual campaigns to a dedicated SQL server almost in real time. Through decoupling, complex database operations for consolidating hundreds of campaigns can be executed with high performance on the server without affecting operational processes. Power BI uses the consolidated data pool as a source to generate company-wide dashboards. Resource management becomes measurable and proactive, while data changes in the SQL database are made available again in operational campaigns in a timely manner thanks to bidirectional synchronization.
Interview: Peak Management in E-Commerce Support
A conversation between an Operations Manager (J) and Dialfire (SA).

“Our core problem was the lack of a meta-level during peak periods. Dialfire provides our teams with excellent operational control within the campaigns. During peak times such as Black Week, we had hundreds of agents across different hotlines – orders, returns, VIP support. Since the teams work with extreme focus within their projects, management lacked visibility of the bigger picture. We often only realized with a delay in Excel reports that the order hotline was overloaded while the returns team had idle capacity.”

“Exactly. We set up our own server for this and established a classic SQL database. At first, IT was skeptical about the amount of data. The crucial point, however, was that dbsync mirrors the data from the individual campaigns directly into our tables. Since we sometimes use different field names across campaigns, we standardized the data on the SQL server via views to make it usable for reporting.”

“Correct, dbsync operates on a campaign basis and maps the respective mask structure 1:1. This gives you full flexibility, but it also requires this logical consolidation on your side. And because it is a true synchronization, the process is bidirectional: if you change a status in your database via script, it is automatically transferred back into the operational Dialfire campaigns during the next synchronization interval.”

“For our reporting, we primarily use read access. The most important technical step was the aggregation on the SQL server in order to create a clean, harmonized data pool. The real breakthrough then came with the integration of Power BI.”

“Exactly. Raw data must be translated into action. dbsync delivers the tabular material to your server, but company-wide visualization is the job of a specialized tool.”

“Exactly. Power BI uses the SQL database as a high-performance source. The dashboards are generated entirely there and translate the SQL views into control-relevant KPIs. We can now see occupancy and adjusted FTEs per campaign across the entire center with only minimal delay.”

“From a technical perspective, this establishes a clean separation: Dialfire as the high-performance capture and routing layer, dbsync as the transport mechanism, and Power BI for the strategic logic. If occupancy in a queue reaches a critical level, you see it immediately in the dashboard and can intervene before SLAs are breached.”

“The biggest advantage was that we gained a completely new dimension of data usage while still being able to use the operational processes in Dialfire. The activation of dbsync and the preparation in Power BI ran parallel to day-to-day business. Today, we have an architecture that can process massive volumes when needed and gives us control over our most important seasonal business.”
